Software for the people who move people

Case-management platforms, applicant portals and custom databases for Sponsorship Agreement Holders, immigration consultants and visa application centres. We built our first one because we needed it ourselves — and because the spreadsheet had stopped coping.

Why this exists

We know where the spreadsheet breaks, because we have been the ones holding it

Sponsorship and immigration work runs on deadlines, documents and other people's lives. Almost everyone doing it is running on a shared spreadsheet, a folder of scanned PDFs, a WhatsApp group and one person's memory.

It works right up until it does not — a missed medical expiry, a document requested twice, a family who cannot get a straight answer about where their file stands, an annual report that takes a fortnight to assemble.

Our team includes people who have run a refugee sponsorship department day to day. We are not guessing at the workflow. We have lived in it.

Most software for this sector is either an enormous enterprise system nobody can afford, or a generic CRM bent into a shape it was never meant to hold. We build the thing in between.

What we build

Six things, built to fit how the work actually runs

Every organisation is a little different, so nothing here is a rigid product. These are the building blocks we assemble around your process.

Case files and documents under review

SAH case management platform

One place for every file a Sponsorship Agreement Holder carries: applicants, sponsors, co-sponsors, undertakings, document status, IRCC milestones and the deadlines nobody can afford to miss. Built by people who have actually run a sponsorship department.

Sponsor & applicant portals

A simple, multilingual portal where sponsors and applicants can see exactly where their file stands, upload what is missing and stop phoning to ask. Designed for people who are anxious, busy and often on a phone.

Consultant & VAC databases

Custom databases and reporting for immigration consultants and visa application centres — client records, appointment flow, document checklists, fee tracking and the reports your regulator or head office asks for.

Automation & reminders

The chasing, automated. Document reminders that go out on their own, status updates that reach the family without a phone call, and internal alerts before a deadline becomes a problem.

Arrivals & settlement tracking

Landing dates, arrival logistics, check-ins, settlement milestones and the first-year support record — captured as it happens instead of reconstructed from memory at report time.

Who it is for

Built for four kinds of organisation

Sponsorship Agreement Holders

Constituent groups, undertakings, settlement plans and the annual reporting burden — held together in one system instead of eleven spreadsheets and a shared drive.

Immigration consultants (RCIC)

Client intake, document checklists, retainer and fee tracking, deadline management and the file organisation that makes a compliance review uneventful.

Visa application centres

Appointment flow, applicant records, document verification checklists and volume reporting for head office.

Settlement & community organisations

Client records, service delivery tracking, referral management and funder reporting that does not require a week of manual collation.

Trust and handling

This is sensitive data. We treat it that way.

Case files contain some of the most personal information a person will ever hand over. Everything we build starts from that fact rather than adding security afterwards.

Access control that matches your org chart

Role-based permissions so a volunteer sees what a volunteer should see, and a coordinator sees the file. Every record change is logged with who and when.

Canadian privacy expectations

Built with PIPEDA and provincial privacy expectations in mind: data minimisation, retention rules, export on request, and Canadian hosting where you need it.

Backups and continuity

Automated backups, tested restores, and an export you can walk away with. Your case data is yours, in a format you can read without us.

Training and documentation

Written guides and live training for your staff and volunteers, so the system survives a change of coordinator.

An important limit: NexGen Pathways builds software and provides administrative and technical support. We are not a law firm, we are not licensed immigration consultants, and we do not give immigration or legal advice. Your organisation's authorised representatives keep every decision about a case — we build the system they use to make it.

How a build runs

From first call to live system

  1. Free discovery session

We walk through your current process end to end — the spreadsheet, the folders, the WhatsApp group, the annual report. No slides, just questions.

  2. A written scope with a fixed price

Exactly what will be built, in what order, what it costs and when each part lands. Phase one is deliberately small so you see something real quickly.

  3. Build, review, adjust

You see working software every couple of weeks and tell us where it does not match reality. That feedback loop is the whole point.

  4. Migration, training and handover

We bring your existing records in, train your staff and volunteers, and give you documentation. Then we stay available for support at whatever level you want.

No-obligation consultation

Tell us where your process hurts most.

Thirty minutes, free, no obligation. Bring the spreadsheet. We will tell you honestly whether software is the answer or whether you need three small fixes and a better checklist — and if it is the latter, we will say so.

Or email info@nexgenpathways.ca — every message gets a human reply within one business day.
